IT Support Technician / Specialist

Role Objective

Help staff use technology efficiently and securely so the organization can focus on its mission.

 

Key Responsibilities

  • Provide friendly help desk support to staff via phone, email, or in person.

  • Set up computers, accounts, and passwords for new users.

  • Fix software and hardware problems on office computers.

  • Maintain data backups and basic network security.

  • Help manage cloud apps like email, document sharing, and databases.

 

Qualifications & Skills

  • Basic knowledge of computer systems, networks, and troubleshooting.

  • Good patience and customer service skills.

  • Clear communication skills to explain tech ideas in simple words.

  • Certifications like CompTIA A+ are helpful but not necessary

Office

Manager

Key Responsibilities

Office Operations & Facility Management

  • Reception: Greet visitors, answer multi-line phone calls, and manage general inbound inquiries with a welcoming and professional demeanor.

  • Correspondence: Sort and distribute mail, process shipping labels, and draft routine organizational correspondence.

  • Supplies & Inventory: Monitor and order office supplies and programmatic materials while staying within budget.

  • Equipment Maintenance: Coordinate routine maintenance and troubleshoot office equipment (copiers, printers, phone systems).

Administrative & Board Support

  • Scheduling: Coordinate and schedule team meetings, maintain the master organizational calendar, and book conference rooms.

  • Meeting Minutes: Record and distribute clear meeting notes for internal team updates and select committee or board gatherings.

  • Filing Systems: Organize and maintain secure physical and digital filing systems, including SharePoint or Google Workspace repositories.

Finance & Donor Relations Support

  • Bookkeeping Assist: Process basic accounts payable/receivable, log incoming donation checks, and prepare deposit packets.

  • Data Entry: Keep CRM or donor databases accurate and up to date with new contact details.

  • Acknowledgment Letters: Assist the development team by generating standard donor thank-you notes and tax receipts.

Qualifications & Skills

  • Education: High school diploma required; Associate’s or Bachelor’s degree in business administration or nonprofit management preferred.

  • Experience: 1 to 3 years of administrative or office coordination experience, ideally within a nonprofit or community service setting.

  • Software Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace; familiarity with QuickBooks or basic CRM tools is a plus.

  • Soft Skills: Outstanding organizational abilities, clear verbal and written communication, and strict discretion when handling sensitive or confidential information.

Maintenance Assistant

Key Responsibilities

  • Facility Repairs: Fix minor plumbing, electrical, and carpentry issues like leaky faucets, burnt-out light bulbs, and loose door hinges.

  • Routine Inspections: Check windows, doors, safety equipment, and building systems regularly.

  • General Upkeep: Perform basic cleaning, event setup (tables and chairs), trash removal, and outdoor groundskeeping.

  • Vendor Support: Meet and assist outside contractors hired for major building repairs.

  • Inventory Control: Track cleaning and repair supplies, and report shortages to supervisors.

Requirements

  • Physical Ability: Lift up to 50 pounds, climb ladders, and stand for long periods.

  • Skills: Basic knowledge of hand tools and general building maintenance.

  • Education: High school diploma or general education degree (GED) preferred.

  • Experience: One year of hands-on repair or custodial experience is helpful.

Food Service

Core Duties

  • Food Distribution & Inventory: Sort, stock, and rotate food items (using FIFO: First-In, First-Out). Track stock levels and order from community food banks or local vendors.

  • Client Service: Greet individuals asking for assistance with empathy, maintain client confidentiality, and help distribute emergency food boxes or meals.

  • Volunteer Coordination: Train, schedule, and supervise community volunteers who help pack boxes or serve meals.

  • Safety & Sanitation: Keep kitchen, pantry, and storage areas clean. Follow local health codes and food safety guidelines.

Requirements & Skills

  • Physical Stamina: Ability to stand for long periods and safely lift boxes weighing 25 to 50 pounds.

Security

Key Responsibilities

  • Access Control: Monitor building entrances and exits, greeting visitors, checking credentials, and managing guest sign-ins to ensure only authorized individuals enter.

  • Compassionate De-escalation: Use verbal conflict resolution and trauma-informed techniques to defuse tense situations before they escalate.

  • Facility Patrols: Conduct routine interior and exterior patrols to identify safety hazards, secure entry points, and deter prohibited activities.

  • Emergency Response: Act as a first responder during medical events, facility alarms, or security breaches; coordinate smoothly with local emergency services (police, fire, medical).

  • Incident Documentation: Write clear, factual, and objective daily activity and incident reports.

Qualifications & Requirements

  • Education: High school diploma or GED equivalent.

  • Licensing: Valid state security guard license/guard card (as required by local regulations).

  • Certifications: Current First Aid and CPR/AED certification.

  • Soft Skills: Strong interpersonal communication, active listening, patience, and cultural competency working with diverse or marginalized populations.

  • Physical Demands: Ability to stand or walk for extended periods and respond quickly to on-site incidents.

  • Assist in conducting regular maintenance tasks such as cleaning, painting, and minor repairs

  • Conduct routine inspections of premises and equipment

  • Help set up and take down equipment for events

  • Handle basic repairs and maintenance​

  • Fix doors in the organization and change the locks if they are bad.

  • Carry out carpentry works

  • Carry out flooring works.

  • Troubleshoot general problems.

  • Repair and replace general hardware.

  • Remove stains and paint building when necessary.

  • Attend to members of staff promptly when called upon.
